“Resources” are what organizations need to keep track of, such as rooms and items used by providers during appointments. Resources help organizations keep track of which rooms or items are available in different locations and when they are in use, to prevent double-booking.
To add a setting in order to use Resources:
- Navigate to the Admin module and select Settings under the “Company” section
- Type resources in the Filter… search bar on the right-hand side
- Select the CUSTSETTING_SCHEDULERESOURCES setting
- If the setting is not listed, click +New on the left-hand side.
4. In the “Edit Customer Setting” pop-up, enter 1 in the “Value” field and select Boolean from the “Data Type” drop-down.
5. Click Update to save the setting
To manage settings:
- Navigate to the Practice module and select Resources under the “Scheduling” section
- Users can view all of the Resources in their system with descriptions, locations, capacities, and start/end dates in the Resources list.
To add a Resource:
- Navigate to the Practice module and select Resources under the “Scheduling” section
- Click +New on the left-hand side
- In the “Details” tab, the required fields are:
- Name
- Capacity
- Start Date
- Users can optionally add a description, end date, several locations, an address, and notes.
To associate a Resource to a location:
- Navigate to the Practice module and select Resources under the “Scheduling” section
- Select a Resource and click the Locations tab
- Users can view one of the locations set up and a start and end date to keep track of when the Resource was at one location versus another.
To delete a selected Resource or export a spreadsheet of all Resources:
- Navigate to the Practice module and select Resources under the “Scheduling” section
- Select a Resource and click the ellipses (...)
- Choose either Delete to delete the Resource or Export
- When selecting “Export,” the file will be downloaded to your computer.
To View a Resource calendar in Practice Schedule:
- Navigate to the Practice module and select Practice Schedule under the “Scheduling” section
- In the “Resource” section on the left-hand side, click the + and select or search for a Resource
- The calendar will show the events that are using the Resource
To add a Resource to an event:
- Navigate to the Practice module and select Practice Schedule under the “Scheduling” section
- Select an event and click the Attendees tab in the pop-up
- It can also be changed in the "Employees" tab.
- Click +Add
- Fill out the information and click Add
5. If a capacity warning appears when creating or updating an event with a Resource:
- Click Double-Book in the “Event Conflicts” pop-up to continue scheduling, or Cancel to view the conflicts and make changes to the event.
- Please note, any Resource that is double-booked runs the risk of being unavailable for that session.
